Smart Groups
Connector uses two types of criteria to categorize and group related items in Smart Groups; tags, and conditions. Tags are essentially keywords. You can tag any item in the Connector, including email messages, events, contacts, files, bookmarks, and lists. Each item can have an unlimited number of different tags. Unlike tags, which you create yourself, there are several preset conditions you can apply to your smart groups, such as Name, Date Created, etc. The specific conditions vary somewhat across applications.
Smart Groups are one of the key ways you can get the most out of Connector. They allow you to group items that have something in common, based on criteria that you specify.
Smart groups have a number of important advantages over standard, because they automatically update to show all applicable items in the group, without you having to manually move items into the group. Smart Groups also can collect items from all users of your Connector, allowing you to collaborate more easily.
While it is possible to exclusively use smart groups instead of standard groups, many people still find it useful to organize their information into a familiar tree structure.

Example
The simplistic 'smart groups' is one where you draw together items that share a single tag. For example, you might create a tag called “Jill's Party” for Jill's upcoming birthday party. You simply apply that tag to each relevant item, and then you can create a smart group that collects all items across all users that share this tag. This aspect of drawing together all items, no matter the creating user, that share a specific tag is a powerful feature that helps you to collaborate with ease.
Next Steps: You can tag each item relating to Jill's upcoming birthday party “jill”, and “party”. If you use separate tags to describe the different aspects of what the item is about, you can create smart groups that call together items tagged “jill” and “party” to show you items only related to Jill's party, and you can create separate smart groups that draw together all “party” related items. This might prove useful if you have reusable resources that you come back to for every party you throw.
How to: Create a Smart Group

The process of creating smart groups is the same across all the applications, the only difference is the name and specific special conditions for smart groups in each application. Follow the procedure for creating a standard group, but click Smart Group. In the panel that opens, enter a name for the group, and specify the matching criteria:
- To enter tag (if applicable), click Add Tag then enter tag name (tag does not need to be applied to any items yet); if you want to add another tag, click Add tag again.
- To enter Conditions (if applicable), click Add Conditions. Select the desired condition from drop-down list, and enter text in the ‘contains’ text box. If you want to add another condition, click Add Condition.
- Click Save Conditions
